I see AI as a productivity tool. Used properly, it can help with the mundane, repetitive, and time-consuming tasks that eat up hours in a workweek. It can summarize information, organize next steps, create task lists, draft timelines, answer basic internal questions, and help staff spend less time trying to organize information and more time doing the work that actually requires human judgment.

That is where I believe AI is most useful.

Not as a way to remove people from the process, but as a way to support them.

In my experience, many businesses are not struggling because their staff are not working hard enough. They are struggling because their staff are pulled in too many directions. They are answering the same questions over and over. They are trying to keep track of meetings, policies, follow-ups, job duties, customer requests, and internal procedures.

AI can help with that.

But only if it is implemented with rules, training, and oversight.

AI Should Support Your Staff, Not Replace Them

One of the biggest misconceptions about AI is that it is here to replace employees.

I do not look at it that way.

I believe AI should work beside your staff, not above them. It should help them move faster, stay organized, and reduce the time they spend on low-value tasks.

For example, many employees spend a lot of their day on things like:

• Summarizing meetings
• Creating follow-up notes
• Organizing task lists
• Drafting internal emails
• Looking up company policies
• Repeating answers to common questions
• Creating timelines
• Preparing first drafts of documents
• Finding information buried in old files or procedures

These are important tasks, but they can also be time-consuming.

AI can assist with many of these things, which gives your staff more time to focus on work that needs experience, decision-making, relationship-building, and human understanding.

That matters.

A staff member who is not buried in repetitive admin work has more room to think, plan, serve clients, solve problems, and contribute at a higher level.

A Common Example: Meeting Notes, Task Lists, and Timelines

A very practical place for many businesses to start is with meeting summaries.

Think about a typical staff meeting.

People talk through updates, problems, deadlines, client issues, staffing needs, and next steps. Someone may take notes, but the notes are not always clear. Sometimes decisions are made verbally and never properly documented. Sometimes everyone leaves the meeting with a different understanding of who is doing what.

This is where AI can be helpful.

After a meeting, AI can help turn meeting notes or a transcript into:

• A short summary of what was discussed
• A list of decisions made
• Action items for each person
• Suggested timelines
• Follow-up email drafts
• A reminder list for the next meeting

That does not mean AI should send the notes automatically.

A manager or team lead should still review the summary before it is shared. They should confirm that the details are accurate, the deadlines make sense, and the responsibilities are assigned correctly.

But instead of spending 45 minutes cleaning up notes, the manager might spend 10 minutes reviewing and adjusting the AI-generated summary.

That is a practical use of AI.

It saves time, but the human is still responsible for the final review.

Another Example: An Internal AI Chatbot for Staff Questions

Another useful way AI can work alongside staff is through an internal chatbot.

This is not the same as letting employees use any AI tool with no structure. I am talking about a chatbot that is trained or connected only to approved company information.

For example, a business could have an internal AI assistant that answers staff questions based on:

• Company policies
• Job descriptions
• Duties and responsibilities
• Procedures
• Onboarding documents
• HR information
• Health and safety instructions
• Internal checklists
• Frequently asked questions

An employee could ask: “What is our vacation policy?”

Or: “What are the main duties for this position?”

Or: “What is the process for requesting time off?”

Instead of asking a manager the same question repeatedly, the employee could get a quick answer from the internal chatbot.

This can be especially useful for growing businesses where the same questions come up again and again.

But again, the key is structure.

The chatbot should only pull from approved company information. Staff should understand what it can and cannot answer. There should be a clear process for what happens when the chatbot gives an answer that seems unclear, outdated, or wrong.

AI should not become the final authority on company policy.

It should be a tool that helps staff find information faster.

The Biggest Mistake Businesses Make With AI

The biggest mistake I see businesses making is giving staff access to AI without any rules.

That is where things can go wrong.

AI can be very useful, but it can also create risk when employees do not know how to use it properly.

For example, staff may not understand:

• What information they can safely enter into an AI tool
• What company information should never be shared
• When they need to review or verify an AI-generated answer
• Whether AI can be used for HR or hiring tasks
• How to identify inaccurate or incomplete information
• Who is responsible for final decisions
• What records should be kept
• What tools are approved by the company

This is why I believe every business using AI needs clear rules.

It is not enough to say, “We use AI now.”

You need to know how it is being used, who is using it, what information is going into it, what tasks it supports, and where human review is required.

You Need Rules Inside Your LLM

If your business is using a large language model, or LLM, you need rules in place.

The tool should not be treated like an open free-for-all.

Your business should be clear about things like:

• What the AI tool is allowed to help with
• What the AI tool should not be used for
• What types of information employees can enter
• What types of information are restricted
• What tone or standard the AI should follow
• When staff must verify the answer
• When a manager or owner must review the output
• What happens if the AI gives an incorrect or questionable answer

This is especially important when AI is being used in areas like HR, hiring, policies, employee communication, customer communication, or internal decision-making.

AI can help create drafts and organize information, but people still need to review, approve, and take responsibility for the final result.

Staff Training Is Not Optional

If a business wants AI to work alongside staff, then staff training is not optional.

Employees need to understand how to use AI properly.

They need to know what is allowed, what is not allowed, and where the boundaries are.

In my opinion, businesses should train employees before giving them access to AI tools in the workplace.

That training should cover:

• What AI is being used for in the business
• Which AI tools are approved
• What information can and cannot be entered
• How to check AI-generated answers
• When human review is required
• How to report a problem
• What the company policy says about AI use

Training also protects the employee.

It is unfair to expect staff to use AI responsibly if they were never taught how to use it in the first place.

Employees Should Be Knowledge Tested

I also believe employees should have their knowledge tested after training.

This does not need to be complicated.

It could be a short quiz, a checklist, or a signed acknowledgement that confirms they understand the company’s AI rules.

The point is to make sure employees understand the expectations before they start using AI as part of their work.

For example, staff should be able to answer questions like:

• Can I enter confidential employee information into this tool?
• Can I rely on AI’s answer without reviewing it?
• Who approves AI-generated content before it is sent externally?
• What should I do if the AI gives an answer that seems wrong?
• Which AI tools am I allowed to use?
• What types of tasks can AI help me with?

This step matters because it creates accountability.

It also helps the business show that AI was not just handed to staff without direction.

AI Still Needs Human Oversight

AI can be helpful, but it is not perfect.

It can misunderstand information. It can give answers that sound confident but are not accurate. It can miss context. It can create wording that does not match your company’s policies or values.

That is why human oversight is so important.

I would never recommend that a business allow AI to make important decisions without a person involved.

AI can assist, summarize, draft, organize, and suggest.

But a human should still review the final output, especially when the information affects employees, customers, applicants, compliance, or business operations.

The safest approach is to treat AI as an assistant.

Helpful, fast, and useful, but not the final decision-maker.

Where AI Can Fit Safely in a Business

For many businesses, the best place to start is with lower-risk tasks.

These are tasks where AI can save time without making final decisions on behalf of the business.

Examples include:

• Summarizing internal meetings
• Drafting task lists
• Creating project timelines
• Drafting internal communication for review
• Organizing policy documents
• Creating first drafts of checklists
• Helping staff find information in approved documents
• Supporting onboarding
• Creating training outlines
• Preparing FAQ-style answers for review

These uses can help a business become more efficient without immediately moving into higher-risk areas.

Once a business has rules, training, and review processes in place, it can consider whether AI belongs in other parts of the operation.

AI and Hiring Needs Extra Care

Because my work focuses on AI implementation and compliance, I pay close attention to how AI is used in hiring and HR-related tasks.

This is an area where businesses need to be careful.

AI may be able to help draft job descriptions, organize interview questions, summarize internal hiring notes, or create onboarding materials.

But if AI is being used to screen, assess, rank, or select applicants, that creates a much higher level of responsibility.

Businesses need to understand what tools they are using, how those tools work, what role AI plays, and where human review happens.

They also need to make sure their job postings, internal processes, and documentation match their actual AI use.

This is why I believe businesses should not wait until there is a problem.

They should review their AI use now and make sure they understand what is happening inside their own hiring process.

AI Can Help Your Team Feel More Organized

When AI is used properly, it can reduce frustration.

Staff do not have to waste as much time searching for information, rewriting the same type of message, or trying to remember every detail from a meeting.

Managers can get clearer summaries.

Employees can get faster answers.

Teams can stay more aligned.

But the business still needs to guide how AI is used.

Without structure, AI can create confusion.

With structure, AI can support the people already doing the work.

That is the balance I believe businesses should be aiming for.

My Opinion: AI Works Best When It Has Boundaries

My honest opinion is that AI can work alongside staff very well, but only when boundaries are in place.

I would not recommend that a business simply tell employees to “start using AI” without a plan.

That is not implementation.

That is guessing.

A proper AI implementation should answer questions like:

• What problem are we trying to solve?
• Which tasks are safe for AI to support?
• Which tasks should stay fully human-led?
• What information can staff enter?
• What tools are approved?
• What training is required?
• How will we test employee understanding?
• Who reviews AI-generated work?
• How will we monitor AI use over time?

When a business can answer those questions, AI becomes much easier to manage.

Should Your Business Let AI Work Alongside Staff?

For many businesses, the answer is yes.

But it should be done carefully.

AI can save time, reduce repetitive work, support staff, and create more organized workflows. It can help with meeting summaries, task lists, timelines, internal policy questions, onboarding support, and administrative work.

But it should not be used without rules.

It should not be used without training.

And it should not be used without human review.

The goal is not to replace your staff.

The goal is to give your staff better support so they can focus on the work that matters most.
